12 Month Secretary - High School Counseling Office
Primary Function:
Performs a variety of responsible clerical support duties necessary to operate and maintain efficiency. Tasks may be complex, specialized and require discretion and initiative.
Essential Functions:
- Performs and coordinates office activities, including; payroll reports, scheduling activities, requisitions and purchase orders, staffing reports, etc.
- Prepares correspondence, reports and documents, manually and using personal computers.
- Receives and makes calls and provides information to callers and visitors
- Reviews information with providers for completeness, verification and accuracy
- Maintains all records, files and databases
- Participates in workshops and training for professional development
- Verifies eligibility of students receiving services for reimbursement
- Collects, organizes and prepares reports of eligible services provided to eligible students
- Performs other related duties as assigned
Additional Functions:
- Provides training and guidance to others
- Provides clerical support to other administrators as needed
- Performs other additional functions as assigned
Work Environment:
- Work is performed primarily indoors, requiring extended periods sitting, repeated standing, walking, grasping, bending and reaching; occasionally climbing stairs and lifting up to 20 Lbs. Requires the use of telephones, computers, AV equipment and other office equipment. Work lends itself to occasional alternative or flexible work schedules; performing multiple tasks independently or as a team with minimal supervision; extended periods at a video display terminal and using keyboards. Works with the public, employees, vendors and contractors.
Minimum Qualifications:
- High school graduate with prior suitable work experience
- Proficient in keyboarding, spelling, punctuation and grammar
- Good oral and written communication skills
- Good interpersonal skills, discretion, judgement, organizational ability and initiative
- Knowledge of and use of Internet, word processing and other computer software and database management programs
- Ability to be adaptive and versatile
- Physical ability to perform the essential functions of the job
- Satisfactory work and health records and criminal and child abuse clearances
